This notice applies to visitors to adp44.co.uk, dental professionals and practices that contact us, and users of our online enquiry and case-submission services.
INFORMATION WE COLLECT
When you contact us or submit an enquiry, we may collect your name, professional contact details, practice name, telephone number, email address, scanner or service information, expected case volume and the contents of your message.
When you use our website, we may collect technical information such as pages viewed, approximate location, device and browser type, referral source and interactions with links or forms. Non-essential analytics information is collected only after you consent through the cookie banner.
If a dental practice submits a laboratory case, we may process case instructions, scan or impression references, photographs, files and limited patient-linked information needed to manufacture and support the appliance or restoration.
HOW AND WHY WE USE INFORMATION
We use personal information to:
• respond to enquiries and take steps requested before entering a contract;
• open and administer practice accounts;
• provide, deliver and support dental laboratory services;
• communicate about cases, fees, turnaround and quality;
• keep business, regulatory, security and accounting records;
• improve our website and measure which marketing produces genuine enquiries; and
• send news or marketing where you have chosen to receive it.
Our lawful bases include taking steps before a contract, performing a contract, complying with legal obligations, our legitimate interests in operating and improving a dental laboratory business, and consent where required. You can withdraw consent for optional cookies or marketing at any time.
PATIENT-LINKED CASE DATA
For patient-linked laboratory case data, the submitting dental practice is normally the data controller and ADP44 acts as its data processor, following the practice’s documented instructions and agreed terms. The practice is responsible for ensuring that it has an appropriate lawful basis, including the necessary condition for any health information, before submitting data.
Please do not place identifiable patient or clinical information in the general website contact form. Use the approved case-submission workflow agreed with ADP44 and disclose only what is necessary for the laboratory work.
COOKIES AND GOOGLE ANALYTICS
Essential cookies support security, navigation and your cookie preferences. They cannot be switched off through our banner.
With your consent, Google Analytics 4 helps us understand page visits, traffic sources, scrolls, outbound-link clicks and form interactions. We do not intentionally send the contents of enquiry forms to Google Analytics. Analytics remains disabled unless you accept non-essential cookies.
You can accept, decline or manage non-essential cookies through the website banner and change your choice later using “Cookie Preferences”. Withdrawing consent does not affect processing that took place before withdrawal.
WHO WE SHARE INFORMATION WITH
We may share information only where necessary with:
• Squarespace, which hosts the website and its forms;
• Google Analytics, only where analytics consent has been given;
• email, IT, security, delivery and professional service providers;
• dental practices and clinicians connected with the relevant laboratory case;
• advisers, insurers, regulators, law-enforcement bodies or courts where required; and
• a buyer or successor if the business is reorganised, subject to appropriate safeguards.
We do not sell personal information.
Some service providers may process information outside the United Kingdom. Where this happens, we require an approved transfer mechanism and appropriate contractual or organisational safeguards.
HOW LONG WE KEEP INFORMATION
General enquiries that do not become customer relationships are normally retained for no longer than 24 months after the last meaningful contact.
Customer, supplier, contractual, accounting and transaction records are generally kept for up to six years after the relevant relationship or transaction, unless a longer period is required for a legal, regulatory or dispute-related reason.
Laboratory case and patient-linked records are retained according to the dental practice’s instructions, our contract, applicable regulatory requirements and the period reasonably needed for quality assurance, traceability, complaints or legal claims. Analytics information is retained only for the period needed to understand website performance and is deleted or aggregated according to the settings of the analytics service.
YOUR RIGHTS
Depending on the circumstances, you may have the right to access your information, correct inaccurate information, request deletion, restrict processing, object to processing, receive portable information and withdraw consent.

No internet service can be guaranteed completely secure, so practices should use the approved case-submission route for patient-linked material.
